Do I Need a Wedding Coordinator for My Cornwall Wedding?
You've planned your own wedding. You've booked the venue, found your suppliers, made approximately 47 spreadsheets and probably have a Pinterest board that could now qualify as its own small business.
So do you really need a wedding coordinator?
Maybe not.
If you genuinely enjoy organising suppliers, creating timelines, answering emails and keeping track of all the little details, you might be perfectly happy managing your own wedding.
But there's one important distinction:
Planning your wedding and running your wedding are two completely different jobs.
An on-the-day wedding coordinator steps in towards the end of your planning, gets to know everything you've organised and then takes responsibility for the logistics on the day itself.
Which means you get to spend your wedding day actually being married.
What does a wedding coordinator actually do?
Let's start with the bit nobody really thinks about.
You've booked your caterer. Your florist is arriving at 9am. The band needs access at 3pm. Your photographer wants 20 minutes for couple portraits. Dinner is at 6.30pm. Your speeches are before dinner. The cake needs moving. The registrar needs the ceremony room ready. Someone needs to put the favours on the tables.
And suddenly there are 27 things that need to happen at roughly the same time.
That's where a wedding coordinator comes in.
Your coordinator takes your plans and turns them into an actual, working wedding day.
That can include:
Creating and managing your wedding day timeline
Liaising with your wedding suppliers
Confirming supplier arrival and setup times
Coordinating the ceremony
Managing transitions throughout the day
Overseeing wedding setup and styling
Keeping suppliers informed
Managing speeches, dinner and key moments
Making sure everything is where it needs to be
Dealing with unexpected problems behind the scenes
Being the main point of contact for suppliers
Keeping the day moving without making it feel rushed
In short: You enjoy the wedding. Your coordinator worries about the wedding.
But I've planned everything myself. Why would I need a coordinator?
This is probably the biggest misconception about wedding coordination.
You don't need a coordinator because you're incapable of organising your wedding.
In fact, many of the couples who book me are extremely organised.
They've planned everything themselves. They know exactly what they want. They've chosen every supplier and made every decision.
They simply don't want to spend their wedding day being responsible for all of it.
Because however organised you are, you are still the people getting married.
You're supposed to be having breakfast with your friends. Getting ready. Drinking champagne. Laughing with your family. Getting married.
You're not supposed to be wondering whether the florist has arrived.
You're not supposed to be answering a text from the caterer asking where to unload.
You're not supposed to be explaining the day's timings to your band.
And you definitely shouldn't be standing in the corner of your own wedding checking whether everyone is where they're supposed to be.
What happens before the wedding?
Despite the name "on-the-day coordination", the work actually starts well before your wedding day.
Before I take over, I'll get completely up to speed with what you've planned.
That means understanding:
Your venue
Your suppliers
Your wedding day timeline
Your ceremony
Your meal and speeches
Your entertainment
Your styling and décor
Your access and setup arrangements
Any important family or guest details
Anything that needs particular attention on the day
I'll then work through the logistics and make sure your suppliers have the information they need.
Because a wedding day doesn't magically run smoothly because you've written a timeline.
Everyone involved needs to know what is happening, when it is happening and who is responsible for making it happen.
That's the coordination bit.
What happens on the wedding day?
This is the bit that makes the biggest difference.
I'll arrive before the main part of the day gets underway and take over the behind-the-scenes running of the wedding.
I'll liaise with your suppliers, oversee setup, keep an eye on the timeline and make sure everyone knows what is happening next.
If the photographer needs you for portraits, I'll help make sure you're where you need to be.
If the caterer needs to know when speeches are happening, they can ask me.
If the band needs to know when the first dance is happening, they can ask me.
If something unexpected happens, I'll deal with it.
And if something takes longer than planned?
I'll adjust the timings.
Because the reality is that weddings are live events.
They don't always run exactly to the minute.
The aim isn't to make your wedding feel like a military operation.
It's to have someone experienced enough to quietly keep everything moving when the inevitable little things happen.
What about wedding setup and styling?
This is particularly important if you've spent months choosing all the details yourself.
You might have spent ages deciding on your flowers, stationery, candles, table settings, favours, signage and little personal touches.
Someone then needs to actually put all of those things out.
And I don't think that person should be you.
Depending on the service you've booked, wedding day setup can include styling tables, placing stationery and personal details, arranging candles and décor and making sure the finished space looks the way you planned it.
The goal is simple:
You walk into your wedding, rather than walking into a room that still needs setting up.
What if I'm having a marquee wedding?
This is where having a wedding coordinator can be particularly useful.
A marquee wedding can be incredible because you have so much freedom.
But that freedom also means there are more moving parts to coordinate.
You might have:
A marquee company
Catering
Power
Toilets
Furniture
Lighting
A bar
Floristry
Entertainment
Photography
Videography
Cake
Transport
Multiple deliveries
Different supplier arrival times
And they all need to work together on the same site.
Someone needs to know when the caterer is arriving.
Someone needs to know where the florist is setting up.
Someone needs to know when the band is unloading.
Someone needs to know when the marquee company is leaving.
Someone needs to make sure the furniture is in the right place before the tables are dressed.
That someone doesn't need to be the bride.
Or the groom.
Or your mum.
Or your best friend.

What is the difference between a wedding planner and a wedding coordinator?
The terms are often used interchangeably, but there is a difference.
A wedding planner
A full wedding planner is involved throughout the planning process.
They might help you find your venue, recommend suppliers, manage your budget, organise appointments, develop your wedding design, manage contracts and oversee the whole planning journey.
This is ideal if you want someone alongside you from the beginning.
An on-the-day wedding coordinator
An on-the-day coordinator becomes involved much later.
You've done the planning.
You've made the decisions.
You've booked the suppliers.
Your coordinator takes over the logistical side in the final weeks and runs the wedding day itself.
It's a great option if you enjoy planning your own wedding but don't want to run it.
How much does a wedding coordinator cost?
Wedding coordination costs vary depending on the coordinator, location, size and complexity of your wedding and exactly what is included.
It's worth looking beyond the headline price and checking what you're actually getting.
For example:
When does the coordinator become involved?
Do they contact your suppliers?
Do they create or manage the timeline?
Do they attend a venue meeting?
Do they oversee setup?
How many hours are they there on the wedding day?
Do they help with styling?
Is travel included?
What happens if something goes wrong?
A cheaper coordination service isn't necessarily better value if you still have to do most of the work yourself.
Who is wedding day coordination really for?
I'd say an on-the-day wedding coordinator is particularly useful if:
You've planned the wedding yourself.
You know exactly what you want but don't want to manage it on the day.
You're having lots of different suppliers.
The more moving parts you have, the more useful a dedicated coordinator becomes.
You're having a marquee wedding.
There are usually more logistics involved than with a traditional wedding venue.
Your venue doesn't provide a dedicated coordinator.
A venue coordinator and an independent wedding coordinator aren't necessarily the same thing.
Your family and friends are already involved.
They should be guests, not unpaid members of your wedding-day workforce.
You're very organised.
Yes, really. Sometimes the most organised couples benefit the most because they have created a brilliant plan — and they need someone they trust to actually run it.
You want to be present.
This is probably the biggest reason of all.
Who probably doesn't need a wedding coordinator?
I'm not going to tell you that every couple needs one.
You might genuinely be happy managing your own wedding.
If you have a small wedding, very few suppliers, a venue that handles most of the logistics and a simple timeline, you may find that you don't need additional coordination.
And if you actually enjoy running events, you might love it.
But be honest with yourself about one thing:
Do you want to be doing that on your wedding day?
Because being capable of doing something doesn't necessarily mean you should have to do it.
So, do you need a wedding coordinator for your Cornwall wedding?
If you're planning your own wedding and you're happy to manage every supplier, timeline and logistical detail yourself, probably not.
But if you'd rather spend your wedding day drinking something cold, eating the food you've spent months choosing, dancing with your friends and actually experiencing the day, I'd seriously consider it.
Your wedding has probably taken months, possibly years, to plan.
You shouldn't have to spend the actual day making it happen.
